Maintenance Coordinator

Prime Management, LLC is a family owned and operated management company, servicing New Haven County for over 10 years. We are looking to hire a maintenance coordinator. This is a full time administration position. The ideal candidate will have strong communication skills, basic construction vocabulary, basic knowledge of Microsoft Office, and the ability to learn and implement new software and applications. Responsibilities:

  •  Provide support to maintenance manager
  • Receives customer’s Service calls, determines the nature and extent of the service problem, and schedules the appropriate service to address the customer’s needs with assistance from maintenance manager
  • Helps to coordinate work assignments of the maintenance staff
  • Helps to coordinates the work of maintenance staff as well as outside contractors
  • Submits bid requests for work and service to be performed by outside contractors
  • Maintaining work order backlog of work, including:
    • Reviewing all new work requests for applicability, correctness, and clarity
    • Cleaning up, evaluating, and managing the backlog
    • Capturing and recording necessary equipment and material history
    • Running reports so the Maintenance Manager can monitor performance
  • Reviewing previous days’ work to check for follow up work and to ensure work orders are correctly closed out
  • Communication with Service technicians
  • Responsible for customer Satisfaction, including Client follow-up
  • Assigns and dispatches the appropriate service technician to match the needs of the call
  • Maintains the service log books, records gathered information from the customer, tracks calls and assignments
  • Orders and tracks maintenance materials or parts as needed to perform scheduled work

  • Demonstrated ability to pay attention to detail and continual diligence about follow-up
  • Demonstrated skills with the standard features of various personal computer software (Microsoft Word and Excel, Outlook, Internet, QuickBooks Online, and other proprietary software)
  • Ability to manage the flow of all required information and documentation
  • Ability to negotiate and procure items in a timely manner
  • Ability to “sell” our services and maintain customer relations through proactive problem solving
  • Must be adaptable to changing work environments and requirements
